Undergraduate Offer Approvals

Summary

The University of Melbourne receives thousands of applications every year and offers conditional offer letters based on certain key criteria for each application. The process involved triaging each application and then making a offer if the application met each of the required criteria. This bot would receive a list of applications every day. It would then asses if each application met the key criteria and then make the offer via the student management system if it did meet the criteria.

Process

  • A list with unprocessed applications would be provided to the RPA team via SFTP transfer by the admissions team.
  • The bot would extract the data from the file and update data tables identifying new and duplicate entries.
  • The Bot used Json packages to store transaction information which helps in storing information in a reduced number of tables.
  • The Bot would bring up the students application in the Student Relationship Manager application.
  • The Bot would extract information provided by the student and check the information against required parameters.
  • The bot will then asses the application and if it met all required parameters the bot would make a conditional offer via the Student Relationship Manager application.
